Looking for an experience Executive Administrative Assistant with at least two years experience in the financial industry MUST be willing to work some evenings.
Check voicemail messages first thing in the morning approx. 9:00 A.M.
Add all new seminar appointments to the calendar first thing in the morning after checking voicemail messages. Calendar should be updated no later than 10:00 A.M.
Make appointment reminder calls
Greet clients or potential clients when they arrive
Get the clients a drink (i.e. soda, water, coffee, tea)
Make changes to appointment calendar as necessary
Responsible for notifying Corporate Controller when office supplies need to be ordered including gifts given to the clients (i.e. grippers, shirts, bags, magnets etc.)
Keep the kitchen area clean at all times-at least weekly clean toaster oven, microwave and coffee machine
Run errands either to the post office or office supply store as needed
Attend annual client events held
Attend outside training as needed
