  • Responsible for providing primary assistance to our Senior Vice President of Finance and our Directors of Accounting and Reporting

  • Serves as a primary point of initial contact for internal and external contacts

  • Assists executive by reading, researching, and routing correspondence

  • Prepares presentations, letters, minutes, reports and spreadsheets using PowerPoint, Visio, Excel or Word.

  • Manages a complex, changing calendar schedules by coordinating, planning and /or prioritizing meetings, events, rooms, equipment and other resources

  • Arranges travel (air, hotel and transportation) and coordinates agenda

  • Independently researches, collects and analyzes information, prioritizes, and follows up on multiple incoming issues and concerns; determines appropriate course of action, referral and/or response

  • Prepares expense reports and reviews invoices

  • Maintains confidential information and secure access to sensitive personnel and company information

  • Job Requirements:

  • A high school diploma or GED

  • An Associate degree or equivalent is preferred

  • A minimum of 7+ years strong administrative support experience

  • Proven ability, willingness and desire to take the initiative and lead on projects and tasks

  • Understanding and comfort with a work environment where the demands of the job do not always follow a regular work day schedule

  • Strong organizational/time management skills and multi-tasking abilities

  • Demonstrated proactive approaches to problem-solving with strong decision making capability

  • Proven ability to work effectively with teams throughout the organization, navigate network effectively and gain support from peers and others within team

  • Detail-oriented, flexible and creative

  • Proven ability to handle confidential information with discretion

  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment

  • Strong calendar management/document organizational skills

  • Demonstrated MS Office skills (Word, Excel, PowerPoint, Outlook)
